Clients trouble shooting tips on photocopiers and printers

As today's business demands get busier and busier one just cannot afford to wait for a technician to attend to you photocopier miss feeds or jams, Printing errors, fax problems or copy quality issues.

At Formula 1 Technologies we believe that far more down time can be achieved with just a little more training and basic information.

We have compiled a little list for you to use next time you really need to copy, print, fax or scan.

The 4 most common problems one can experience on an office copier or printer is paper jams, printer not printing, you cannot send or receive faxes or lastly, copy or print quality issues.

Here follows a basic check list you can follow to resolve this immediately.

1. Jamming areas is your document feeder on top; on the side were the paper passes through the imaging process or on the paper trays.
  • Make sure the paper settings is correct on your pc, machine and paper trays
  • Make sure the paper tray guides is in place and set correctly to guide the paper
  • Make sure there is no obstruction in paper path (From trays, fuser unit and exit)
  • Open Doc Feeder covers to see if there is any paper (Check top and bottom of DF)
  • Open fuser cover on the right or left of machine to see if there is a paper jam
2. Sending a print job to a printer and it not printing is the 2nd most common problem user's experience. Here is how you can resolve orientation, hanging or jamming problems.
  • See if the network or USB cable is connected to the printer and the light is on.
  • Make sure the correct paper trays have been selected. No paper means no print.
  • Make sure the correct printer is selected. Click start printers and faxes and view.
  • Double click on the printer icon to see if there is any jobs hanging and delete.
  • Insure the correct paper sizes and orientation have been selected.
3. Sending and Receiving faxes is part of daily communication. Not being able to do this is the 3rd most common problem and this is how you can test if it's a line or the machine issue.
  • See if you get a dialling tone from the machine – Press hook dial.
  • Take a handset and connect to wall input and review tone. No tone means no line.
  • Note no tone means your service provider's line service is down.
  • Make sure the receivers or sender's line is working. Test by calling it.
4. The last and probably most frustrating error is quality. A presentation or board pack is due and the quality is definitely not what you expected. Simple checks to resolve.
  • Lift the document feeder; clean all glass on top of the machine. Use a soft cloth.
  • Compare the original document to the copy. Check for marks on the original.
  • Open side of machine. Check drum for any marks or scratches.
  • Lastly insure there is enough toner in the machine.
